Terms of Service

The rules for using Ubitri MailThief — in plain language.

Last updated: 30 August 2026

The short version

  • Connect only mailboxes you own or are authorised to manage.
  • The scanner acts on your mail automatically — moving, trashing or deleting messages according to the settings you choose. You decide what it is allowed to do.
  • No filter is perfect. Wanted mail will occasionally be moved, and unwanted mail will occasionally get through. Undo is there for the first case, but do not rely on us as your only copy of anything.
  • We are not your mail provider. If your mail host is down, changes its rules, or locks your account, that is between you and them.
  • Use it lawfully and don't try to break it.

Your account

You need a verified email address to use MailThief, and you must give accurate details when you register. You are responsible for what happens under your account, including keeping your password to yourself. Tell us promptly if you think someone else has access to it.

You must be old enough to enter a contract where you live, and you may not use the service if we have previously closed your account for breaking these terms.

MailThief is not intended for children. You may not use it if you are under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have, we will delete it and close the account.

Mailboxes you connect

By adding a mailbox you confirm that you own it, or that its owner has authorised you to connect it, and you authorise us to sign in to it over IMAP on your behalf and to act on the messages in it according to your settings.

Connecting someone else's mailbox without their permission is a breach of these terms and, in many places, of the law. We will close accounts that do it.

What the scanner does to your mail

This is the part worth reading twice. MailThief evaluates messages automatically and, where you have configured it to, moves, trashes or permanently deletes them. It acts without asking you first — that is the point of it.

  • You control which folders are scanned, which categories are acted on, and what action each category gets. Choosing a destructive action is your decision.
  • Before the scanner moves, trashes or deletes a message we keep a restorable copy, so you can undo the action from the Activity page. Those copies are kept for a limited window — 30 days by default — and are then purged automatically.
  • Once the retention window passes, or if the copy could not be captured, an action may not be reversible.
  • Classification is imperfect. Legitimate mail will sometimes be flagged, and spam or phishing will sometimes be missed. MailThief is a filter, not a guarantee of safety.

MailThief is not a backup service. Keep your own copies of anything you cannot afford to lose, and review the Activity page regularly when you first turn on automatic actions.

Plans and tokens

Work done on your behalf — scanning, scoring, opening messages in the reader — consumes tokens from your account balance. A plan grants an allowance of tokens each month, prorated when it starts mid-month. Unused allowance does not carry over unless we say otherwise, and when your balance runs out, scanning pauses until it is topped up or the next monthly grant arrives.

Paid plans and token packs are billed at www.ubitri.com, using the Ubitri account you sign in with. We never see or store your card details. A plan's monthly allowance is granted when payment for that period is confirmed — not before — so a payment that fails or is cancelled simply means the next month is not granted.

If a payment is refunded, voided or charged back, the tokens it bought are taken off your balance. Where they have already been spent this can leave the balance below zero, and processing stays paused until it is back in credit. Plans with no price attached remain free, and are granted on the first of each month as they always have been.

Acceptable use

Don't use MailThief to:

  • Access a mailbox you are not authorised to access.
  • Break any law, or infringe anyone's rights or privacy.
  • Probe, overload, or interfere with the service, our infrastructure, or anyone else's account.
  • Work around token limits, rate limits, or the access controls that separate one account's data from another's.
  • Resell or redistribute the service without our written agreement.

Availability

We aim to keep the service running, but we do not promise any particular level of uptime. Scans depend on your mail provider being reachable and accepting our connections; providers sometimes throttle, block or change their IMAP behaviour, and when they do, scans may be delayed or fail. We may change, suspend or discontinue features, and we will give reasonable notice before removing something you rely on.

Your data and privacy

Your mail is yours. How we handle it — what we store, what we never store, and what the AI classifier sees — is set out in our Privacy Policy, which forms part of these terms. In short: no human at Ubitri reads your mail, and we do not sell your data.

Ending the arrangement

You can disable or remove a mailbox at any time, and you can ask us to close your account by emailing support@ubitri.com. We may suspend or close an account that breaches these terms, or where we are required to by law. When an account is closed we stop connecting to its mailboxes and delete its data as described in the Privacy Policy. Removing a mailbox from MailThief does not change anything on your mail server — messages already moved or deleted stay as they are.

Disclaimers and liability

The service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that it will correctly classify any particular message.

To the fullest extent permitted by law, Ubitri is not liable for indirect, incidental, special or consequential damages, or for lost profits, lost data, or mail that was moved, deleted, delayed or delivered as a result of using the service. Nothing in these terms excludes liability that cannot lawfully be excluded.

Governing law

These terms are governed by the laws of the State of Texas, United States, without regard to its conflict-of-laws rules. Any dispute arising out of them or out of your use of MailThief will be brought exclusively in the state or federal courts located in Texas, and you and we each consent to the jurisdiction of those courts.

MailThief is operated from the United States and is intended for use there. If you use it from elsewhere, you do so on your own initiative and are responsible for complying with your own local law. If any part of these terms is held unenforceable, the rest stays in force.

Changes and contact

We may update these terms as the service changes. When we do, we will update the date at the top of this page, and we will tell you before any change that materially affects your rights or how your mail is handled. Continuing to use MailThief after a change means you accept it. Questions? Email support@ubitri.com.
